Working with Templates

Save time by creating templates for commons tasks like emails, and contracts. Templates contain prefilled data that you specify, so you don’t have to re-enter the same information.

Create Templates for Email

An email template is attached to an email activity after the activity is created. You can create global templates that are available for any record type, or personal templates available only to you, or organizational templates available to anyone in your organization. You can also create specific email templates for a lead, opportunity or a contact.

Only an Agency Admin and Sales Manager can create templates for the agency. A Producer can create templates for their own use.

  1. On the top navigation bar click the Vertafore logo and select Marketing. The Marketing work are appears on the navigation bar.
  2. On the top navigation bar click on Marketing and then select the Templates tile. The templates landing page appears.
  3. Click on Email Templates. A list of all email templates accessible per your user role appears.
  4. On the command bar, click New. The Email Template Type page appears.
  5. From the Template Type drop-down list choose a record type for which this template applies to. For this instruction we chose Lead. And click OK.

If you choose a specific record type, such as lead or opportunity, the template is available only for that record type. And the data entity fields are tied to the template type chosen. This cannot be changed. To use the same content for another record type, create a new template.

  1. Click OK. The New Email Template page appears.
  2. Enter the Title and provide a clear Description. Enter a clear and concise Subject.

Descriptions will not be displayed to the recipient.

  1. In the email body, type in your email text. Use the Formatting toolbar to edit the text.
    1. While there is no insert feature to include image or HTML directly into email templates, you can Copy & Paste an image from a browser in to the email body. The image is available as long as the website is accessible.
    2. To include a hyperlink in an email template, type the URL including the http://, for example, http://www.vertafore.com, and then press Enter. Do not include a period or comma or a space after the URL or the link will break. A link is automatically added to the URL and the text is underlined and changed to blue.
    3. You can use the Formatting toolbar. For more features, edit the email text in Microsoft Word and then copy and paste the content in to the template. This allows you to take advantage of features such as spell checking and some advanced text formatting. To single-space a line of text, at the end of the line press Shift+Enter.

Adding Email Signature images is currently not supported in Vertafore Agency SalesTrack

 

Edit/Update a Template

  1. On the top navigation bar click the Vertafore logo and select Marketing. The Marketing work are appears on the navigation bar.
  2. On the top navigation bar click on Marketing and then select the Templates tile. The templates landing page appears.
  3. Click on Email , Contract or Mail Merge Templates. A list of all templates accessible per your user role appears.
  4. Double-click on a Title to open a template.
  5. Make the changes you want and then click Save or Save and Close.
