Add Agreement

Use the Add Agreement page to add a new direct agreement among a producer, any producers functioning as a superordinate, subordinate, or partner in a reporting or compensation hierarchy, and one or multiple carrier appointing companies.

To open the Add Agreement page, choose one of the following methods:

  • From the Licensing menu select Agreements, and then select Add Agreement. Perform a Producer Search to find the producer record for which you want to add agreement information.

  • Click the Add New Agreement link in the Direct Agreements subsection of the Agreements data section of a producer record that is open in the Review/Update Producer page.

The Add Agreements page consists of the following sections:

ClosedRecord Summary

Displays summary information of the producer record currently open for review and/or updating.

Fields and controls in the Record Summary section include the following:

  • Search Producer: Click the link to start a new search for a producer record. For more information, see Searching for Records.
  • [Producer Name]: Displays the name of the individual or firm producer whose record currently is open in theReview/Update Producerpage. An icon to the left of the producer name signifies the producer's entity type, either individual () or firm ().Click the producer name link to refresh the producer record that is currently open in the Review/Update Producer page or to re-open the producer's record in the Review/Update Producer page from any other page in the system.
  • Rating: If a producer has been assigned a productivity rating (no stars, meaning “not rated;” one star, “poor;” two stars, “satisfactory;” three stars, “good;” four stars, “outstanding;” or the symbol signifying a “Do Not Contract” alert), the display-only rating will appear to the right of the producer’s name.
  • SSN: Individual producers only. Displays an individual producer's Social Security Number. The Social Security Number can be set per security role to mask the first five digits and display only the last four digits. For more information, see Maintain Security Role.
  • EIN: Firm producers only. Displays a firm producer's Federal Employer Identification Number.
  • External System ID: Displays the producer's identifier code in the external system that has been Vertafore-configured as your company's "preferred" system. For more information, see External System IDs, Configuration Options, and Advanced Producer Search.
  • Active BU: Displays the short name of the business units to which a producer is actively assigned (sorted alphabetically). To expand the field to display all active business units, click the node ().
  • NPN: Displays a producer's unique National Producer Number, assigned by the National Insurance Producer Registry (NIPR).
  • Resident State/License: Displays the codes of the states that a producer claims as a resident state for licensing purposes (sorted alphabetically) and the producer's license numbers in those states. Includes active or inactive licenses. To expand the field to display all resident states and license numbers, click the node ().
  • Additional States/Licenses: Displays the codes of the states in which the producer holds non-resident licenses (sorted alphabetically) and the license numbers in those states. Includes active or inactive licenses. To expand the field to display all resident states and license numbers, click the node ().
  • Producer Contracting Workflow: If your company uses the onboarding and maintenance transaction component of the Sircon Platform, Producer Express, and a producer currently is associated with a request record in Producer Express, you can click the number in the field to launch Producer Express and view or work with the request record. (For more information, see the Sircon Producer Express Online Help.)
  • Missing Required Information Alert: Displays an alert that the producer record lacks information that has been configured to be required in your company's deployment of the Sircon Platform. A producer record deficient of required information is considered "incomplete," and appointment or termination requests may not be submitted for the producer until the deficiency is corrected. Review the Quick Links box to identify and correct the specific details sections in the record with missing required information. For more information, see Configuration Options.
  • CE Compliance: Display-only indication of a producer’s unfulfilled continuing education requirements. Indication will not appear if producer is current with continuing education requirements. Available by Vertafore configuration only; for more information, seeConfiguration Options.

ClosedPrimary Producer

Enter information about the new direct agreement.

Fields and controls include the following:

  • Primary Producer Type: Display-only. Displays the entity type of the selected producer, either Individual or Firm.
  • EIN/SSN: Display-only. Displays the selected producer's taxpayer identification number.
  • Primary Producer Name: Display-only. Displays the selected producer's name.
  • NPN: Display-only. Displays the selected producer's National Producer Number, when available from producer's record.
  • External System ID: Required. Select from the dropdown menu a value representing the following:
  • The external system type associated with the producer's external system ID
  • The external system ID that you want to associate with the agreement. (Note that this often is the producer's code in your company's compensation or commissioning system.)
  • The business unit associated with the external system ID
  • Whether the business unit is set as the producer's primary business unit
  • Whether the external system ID is set as active or inactive
  • Add External System ID: Click to open the Maintain External System Identifiers page, where you can update information linking the producer record to other systems in your organization, such as payroll or accounting systems.
  • Business Unit: Select from the dropdown menu a business unit short name to add to the agreement. Populated with all business units that are active for the producer and available to you as part of your user account in the system.
  • Type: Required. Select from the dropdown menu an agreement type.
  • Custom: Click to checkmark the checkbox to indicate that the new agreement is a custom agreement.
  • Status: From the dropdown menu, select the status of the agreement, either Active or Inactive.
  • Termination Reason: Available only if Status is Inactive. From the dropdown menu, select a reason why the agreement was terminated.
  • Begin Date: Required. Enter the date on which the agreement becomes active. Defaults to today's date. Overwrite with a date either on or before today's date. Use the mmddyyyy date format. Or, click the Calendar button () to open a popup calendar from which you can click to select a date.
  • End Date: Available only if Status is Inactive. Enter the date on which the agreement became inactive. Must be on or after the Begin Date. Use the mmddyyyy date format. Or, click the Calendar button () to open a popup calendar from which you can click to select a date.
  • Level ID: Enter the agreement level ID. Maximum 30 characters.
  • Manager Level ID: Enter the manager level ID. Maximum 30 characters.
  • Hierarchy Template: From the dropdown menu, select a pre-defined template to apply to the new agreement that establishes the ordered reporting level and/or compensation schedule for the producer in the agreement. (For more information, see Maintain Hierarchy Templates.)
  • Additional Producer Roles: Click to checkmark one or multiple checkboxes corresponding to roles held by one or multiple other producers under the agreement, such as Manager or Disbursee.

ClosedCompanies

Enter information about the carrier appointing companies to be recorded on the agreement with the selected producer (and any additional producers).

Fields and controls include the following:

  • Company checkbox: Click to checkmark to select a corresponding carrier writing company to add to the agreement.
  • Begin Date: Required. Enter the date on which the company's involvement in the agreement began, or accept the default of today's date. Use the mmddyyyy date format. Or, click the Calendar button () to open a popup calendar from which you can click to select a date. Date must be on or before today's date.

ClosedPage Controls

Fields and controls include the following:

  • Previous: Click to discard settings on the currently open page and navigate to the preceding page in the process.
  • Next: Click to validate and save information on the currently open page and navigate to the succeeding page in the process.
  • Cancel: Click to abort the operation.
  • Save: Click to validate and commit information to the system.

Notes

Note: When adding an agreement to a producer's record, the system does not require you to select a value from the Hierarchy Template dropdown menu. A hierarchy template is necessary only when you are tying multiple producer agreements together to form a compensation or reporting hierarchy.

Note: If you select one or multiple Additional Producer Roles you are required to add an additional producer to the agreement. For each Additional Producer Role selected, perform a Producer Search for the record of the additional producer, select the additional producer's External System ID to apply to the agreement, and then enter the Begin Date of the relationship with the original producer. Click the Next button to continue.

Note: Based on your company's business rules, the Business Unit dropdown menu in the Primary Producer section may be Vertafore-configured to display the business unit set as the default in your user account. For more information, see Configuration Options and Maintain Staff Member Business Unit.

Note: The values available in the Type and Termination Reason fields in the Primary Producer section can be user-configured in the AGRMT_TYPE_CD and AGRMT_TRMN_RSN_CD code groups on the Maintain Codes page.

Note: The values available in the Hierarchy Template field can be customer-configured by users with administrative permissions. Set values using the Maintain Hierarchy Templates page.

Note: The values available in the Payment Frequency, Advance Commission, Conduct Business via DTCC, and Advance Transaction Status dropdown menus can be customer-configured by users with administrative permissions on the Maintain Codes page. Set the value for the Payment Frequency dropdown menu using the PAYMENT_FREQUENCY_CD code group. Set the value for the Advance Commission dropdown menu using the ADVANCE_COMMISSION_CD code group. Set the values for the Conduct Business via DTCC dropdown menu using the BUSINESS_VIA_DTCC_CD code group. Set the values for the Advance Transaction Status dropdown menu using the ADVANCE_TRANSACTION_STS_CD code group.

Note: The checkboxes available in the Additional Producer Roles field are configured by a user with administrative permissions in the Additional Producer Role Code field of the Maintain Hierarchy Levels page. The roles available for configuration are maintained using the AGRMT_PRDCR_ROLE_CD code group on Maintain Codes page.

Tips

An agreement can be added to or updated on a producer record automatically based on information obtained from Producer Express during the processing of an onboarding or maintenance transaction request. For more information about this capability or about Producer Express, contact your Vertafore representative.
