Add Course Completions

Use the Add Course Completions page to manually add an education or training course completion to a producer record.

You can record the completion of a course selected from a pre-configured list of education courses or of a course added "on the fly."

To open the Add Course Completions page, choose one of the following methods:

  • From the Licensing menu, select Education Credentialing and then select Add Course Completions. Then, perform a Producer Search to find the individual producer for whom you want to record a course completion.

  • With a producer record open in the Review Update Producer page, click the Add/Delete Course Completions link in the Course Completions data section. The Course Completions page will open. Then, click the Add Course Completions link.

The Add Course Completions page contains the following sections:

Displays summary information of the producer record currently open for review and/or updating.

Fields and controls in the Record Summary section include the following:

  • Search Producer: Click the link to start a new search for a producer record. For more information, see Searching for Records.
  • [Producer Name]: Displays the name of the individual or firm producer whose record currently is open in theReview/Update Producerpage. An icon to the left of the producer name signifies the producer's entity type, either individual () or firm ().Click the producer name link to refresh the producer record that is currently open in the Review/Update Producer page or to re-open the producer's record in the Review/Update Producer page from any other page in the system.
  • Rating: If a producer has been assigned a productivity rating (no stars, meaning “not rated;” one star, “poor;” two stars, “satisfactory;” three stars, “good;” four stars, “outstanding;” or the symbol signifying a “Do Not Contract” alert), the display-only rating will appear to the right of the producer’s name.
  • SSN: Individual producers only. Displays an individual producer's Social Security Number. The Social Security Number can be set per security role to mask the first five digits and display only the last four digits. For more information, see Maintain Security Role.
  • EIN: Firm producers only. Displays a firm producer's Federal Employer Identification Number.
  • External System ID: Displays the producer's identifier code in the external system that has been Vertafore-configured as your company's "preferred" system. For more information, see External System IDs, Configuration Options, and Advanced Producer Search.
  • Active BU: Displays the short name of the business units to which a producer is actively assigned (sorted alphabetically). To expand the field to display all active business units, click the node ().
  • NPN: Displays a producer's unique National Producer Number, assigned by the National Insurance Producer Registry (NIPR).
  • Resident State/License: Displays the codes of the states that a producer claims as a resident state for licensing purposes (sorted alphabetically) and the producer's license numbers in those states. Includes active or inactive licenses. To expand the field to display all resident states and license numbers, click the node ().
  • Additional States/Licenses: Displays the codes of the states in which the producer holds non-resident licenses (sorted alphabetically) and the license numbers in those states. Includes active or inactive licenses. To expand the field to display all resident states and license numbers, click the node ().
  • Producer Contracting Workflow: If your company uses the onboarding and maintenance transaction component of the Sircon Platform, Producer Express, and a producer currently is associated with a request record in Producer Express, you can click the number in the field to launch Producer Express and view or work with the request record.   • Missing Required Information Alert: Displays an alert that the producer record lacks information that has been configured to be required in your company's deployment of the Sircon Platform. A producer record deficient of required information is considered "incomplete," and appointment or termination requests may not be submitted for the producer until the deficiency is corrected. Review the Quick Links box to identify and correct the specific details sections in the record with missing required information. For more information, see Configuration Options.
  • CE Compliance: Display-only indication of a producer’s unfulfilled continuing education requirements. Indication will not appear if producer is current with continuing education requirements. Available by Vertafore configuration only; for more information, seeConfiguration Options.

ClosedStep 1

Identify a course for which you want to record a completion. Select an existing course to record as completed, or add a new course "on the fly" and record it as completed.

Fields and controls include the following:

  • Select a course from a list: Click the radio button to record a completion for a course that a system administrator has pre-configured and enabled for use. (For more information, see Course List.)  A table listing existing courses in the system will display, as follows:

  • [Existing Course]: Available only with theSelect a course from a listradio button selected. Displays information about a course that already exists in the system, including Course Name, Provider, Provider Subscriber ID, Provider Course ID, Category, Subcategory, and Hours. Click the radio button corresponding to a course for which you want to record a completion.

  • Manually enter course information: Click the radio button to add a new course "on the fly" for which to record a completion. Fields into which you can enter course information include the following:

  • Course Name: Available only with theManually enter course informationradio button selected. Required. Enter a name for the course. Maximum 255 characters.

  • Category: Available only with theManually enter course informationradio button selected. Required. From the dropdown menu, select an education type or grouping for the course (e.g., Anti-Money Laundering, Long-Term Care, etc.).

  • Subcategory: Available only with theManually enter course informationradio button selected. From the dropdown menu, select a sub-type grouping of the course, such as initial or ongoing.

  • Regulatory Body: Available only with theManually enter course informationradio button selected. From the dropdown menu, select a regulatory or oversight entity that compels a producer to take and earn credit for the course.

  • Provider Name: Available only with theManually enter course informationradio button selected. Required. Enter the name of the education provider offering the course. Maximum 255 characters.

  • Provider Subscriber ID: Available only with theManually enter course informationradio button selected. Enter the education provider's Vertafore subscriber account number. Maximum 9 characters.

  • Provider Course ID: Available only with theManually enter course informationradio button selected. Enter an identifier that the education provider has assigned to the course. Maximum 20 characters.

  • Hours: Enter the whole and/or partial hours for which the producer has earned credit for completing the course. Maximum 5 characters; may include a decimal point.

  • ... add a course ...: Available only if you have administrative permissions in the system. Click to open the Course List page, allowing you to configure a course in the system and make it available in the Select a course from a list table.

ClosedStep 2

Record completion details for the course you identified in Step 1.

Fields and controls include the following:

  • Completion Date: Required. Enter the date on which the selected producer completed the course. Use the mmddyyyy date format. Or, click the Calendar button () to open a popup calendar from which you can click to select a date.

  • Document Reference: For each course completion listed, enter an identifier for the documentation certifying that the producer completed the course. May be used to link the course completion to a file in an internal document imaging system. Maximum 255 characters.

  • Save: Click to commit the data entered to the selected producer record. You may review the course completion in the Course Completions data section of the producer record.

  • Return: If you have opened the Add Course Completions page from the Course Completions data section of the selected producer record, click to return to the record in Review/Update Producer page. Or, if you have opened the Add Course Completions page from the Education Credentialing submenu, click to open the Producer Manager Home Page.

Notes

Note: If your company is tracking education credentials, the system can use a producer's course completion information together with his or her license information to calculate an education credential status. For more information, see Education Credentials.

Note: In the Add Course Information and Edit Course Information sections, the values available in the Category, Subcategory, and Regulatory Body dropdown menus can be customer-configured on the Maintain Codes page by users with administrative permissions. Set values for the Category dropdown menu using the CRS_CTGRY_CD code group. Set values for the Subcategory dropdown menu using the CRS_SUBCTGRY_CD code group. Set values for the Regulatory Body dropdown menu using the RGLTRY_BDY_CD code group. For more information, see Maintain Codes.

Tips

Producer Manager offers a hands-free, automated method for recording course completions. By performing an automated data reconciliation, you can automatically update a producer record with the producer's continuing education (CE) or product-specific training course completion information. The system retrieves information from an external data source and merges it to the Course Completions data section of a producer record automatically. Data sources can include the regulatory databases of one or more "Sircon States" (states for which Vertafore either built or hosts the insurance producer education management system) or a national repository populated with course completion information from an exclusive network of leading education providers (a.k.a. the Vertafore Authorized Provider Network). If your company also provides education services, you can upload course completion information to the national repository, as well. For more information about these services, contact your Vertafore representative.
